Pharmacy Module

The Pharmacy Module is where the prescribed medications and drugs can be bought by patients. This module houses the necessary transactions and reports for the medicines that patients buy within the clinic’s pharmacy which is important when it comes to tracking of inventory, particularly medications.

This module has three primary users namely Head – Pharmacy, Pharmacist, and Pharmacy Inventory Custodian. Each of these users have their own role and privileges to ensure the clinic’s needs are met and fulfilled in order for them to deliver the utmost care for their patients. In this tutorial, we’ll discuss the users whose task is to oversee the entire clinic’s pharmacy department: Head – Pharmacy.

Head - Pharmacy
The head of the clinic Pharmacy oversees the pharmacy department and its processes including the reports and analytics produced from the Pharmacy module. Below is a matrix of their privileges.

Point of Sales
This is where users create pharmaceutical transactions from viewing sales reports to producing a sales order and verifying staff commissions. Go to POS > Sales then select Pharmacy.

To add a new Sales Report, click on the “+” button and then users will automatically be redirected to the Order Details page wherein they’ll be asked to input the necessary details for the transaction.

To select a customer, click on the “Select Patient” bar and then a dropdown list of all the clinic’s patient will appear. If not on the list, users can simply enter the customer’s first name and last name as well as their corresponding OSCA ID no. and/or PWD ID no.

If the patient has an in-house prescription, users can just click the “In-House” button for a prompt of the patient’s prescription to appear. Select the prescription and the medicines to include in the transactions as well as the quantity to be bought. Click “save” when done.

For customers who don’t have an existing prescription, users can select the “Outside” button and then a prompt will appear asking for the name of the prescribing doctor, their S2 Number and the product to be bought along with its price and quantity. To add more to the Sales Order, simply click “Add Medicine”. Click save to add to the order.

Once user clicks the “Save” button on the bottom of the page, they will be redirected to the invoice page where they can perform the same actions as that of the Billing Module > Encounters > Invoice.

Users can edit the commission by clicking “edit” found on the Commissions section of the invoice right below the O.R. Number. Once clicked, a prompt will appear showing the details of the Service/Product staff commission, its percentages per private transaction, HMO, and/or government.

Click “Pay” to save the payment transaction. Click ”Save and End Transaction” to finalize invoice and end transaction

Total Sales Report
This is where a summary of all the clinic transactions can be found composed of sales, expenses, number of patients, and total amount of payments per payment method. Users can filter the view by clicking the date field found on the upper left corner of the page.

When scrolled down, the users will find a list of the total transactions made per patient. The search bar on the upper right corner of the section will help the users in specifying the transactions made per patient.

Pharmacy Analytics
The pharmacy analytics can be found on the Nav Bar > Clinic Dashboard and contains analytics about the pharmacy's sales.
